How to Remember Client Details as a Lash Tech (Without Relying on Memory Alone)

Last week I asked a question in a lash tech Facebook group that I genuinely wanted an answer to: how do you keep track of everything your clients tell you? The new job. The holiday they'd been counting down to. Their partner's name. The house they were trying to buy.

I wasn't expecting much, but the replies turned into a great snapshot of how differently beauty techs handle client tracking.

Some techs just remember everything

A couple of people said it's almost automatic for them. The second a regular walks back in, it "pops back into their brain" and they remember everything. One tech put it down to genuine curiosity: talking to clients feels like chatting to friends, so details stick without any effort. Honestly, kind of impressive and not how my brain works.

Booking app notes and client cards

Several techs mentioned jotting things down directly under the client's file in whatever booking software they already use. It's quick, no extra app, and it's there next time they open the profile. Others go old school with physical client cards, no app or notes field at all, just a card per client updated by hand.

Prompts instead of perfect recall

One tech shared a trick I loved. If she's blanked on something, she'll say "remind me, when's your holiday again? I thought it was soon" and let the client fill in the gap. It works because clients don't mind reminding you. They just want to feel like you tried.

A word on data protection

One comment added an important boundary. Alongside "you're human, clients understand" came a genuinely useful reminder to be careful about what you're storing. Personal details unrelated to the treatment itself are worth thinking twice about. Data protection rules apply to more than we sometimes realise, especially for anyone keeping notes in an app or spreadsheet.

Where I actually struggle with client tracking

I'll be honest, this is exactly where I fall down. I replied in the thread that my regulars are fine; I see them every three weeks and it sticks. But my occasional and special-occasion clients, the ones with longer gaps between visits, are where I mix details up. Turns out I'm not the only one. It's a really common gap between "the people I see constantly" and everyone else.

That's the real takeaway for me. The goal was never memorising everything perfectly. It's making clients feel remembered, even the ones you don't see every few weeks, and building a system that covers the gap your memory naturally leaves.

Building a simple client tracking system

For me, that system used to be sticky notes and vague guesses. These days I track it properly: the details that matter for the treatment, rebooking timing, and the small personal things clients mentioned last visit that I want to follow up on.
